WhatsApp is an option, not the whole enquiry system
For a homeowner arranging a small room repaint, sending photographs through WhatsApp can feel convenient. But a commercial facilities manager may prefer an email trail, and a customer using an office computer may not want to open a messaging app. Offer a conventional form or email alongside WhatsApp rather than making messaging compulsory.
Set boundaries for contact and response times
Make clear when you normally respond and whether messages are monitored outside working hours. A link labelled “Message us about your project” is more honest than “Instant quote” if you still need to visit the property. Use a business contact method that you are happy to share publicly and consider how conversations will be handled when more than one person is involved.
Protect the information people send
Project photographs may reveal interiors, addresses or family possessions. Explain what information you request and why, and avoid asking for sensitive details that are not needed for a decorating quotation. If you use a messaging provider, its separate privacy terms and data handling still matter; do not describe it as a secure upload portal without checking.
Design the website hand-off properly
A WhatsApp button should open the correct business number on a mobile device and have a sensible desktop fallback. A pre-filled message might say “Hello, I would like to discuss a decorating quotation” without requiring personal details in the URL. Test the link on iPhone, Android and a desktop browser before relying on it.
Can WhatsApp replace a website form?
It can be one contact route, but offering another method is wise for customers who prefer email or need a documented commercial enquiry.
An example WhatsApp hand-off that respects boundaries
A useful button could read “Ask about a decorating project on WhatsApp”, not “Instant quotation”. The opening message might be prefilled with “Hello, I found your website and would like to discuss decorating work.” Invite the customer to include the postcode and whether the work is interior or exterior, but let them write naturally. The business must monitor the account and avoid auto-promising a response at 10pm.
If a customer sends photographs, explain that they are for initial assessment and that a survey may still be required. Never place private project details in a public chat link or imply WhatsApp is mandatory; a normal form or telephone number remains useful. Test the button on both Android and iPhone, including how the link behaves for a visitor who does not have the app installed.
Checks for this particular enquiry journey
- Label WhatsApp as a conversation, not a fixed-price generator.
- Provide a separate form or telephone contact route.
- Define monitored hours and photo-handling expectations.
- Test mobile hand-off and fallback behaviour.
